Employee Time Sheet Instructions
Personal Days
Personal hours must be entered on the appropriate day under the PB column on the timesheet. The timesheet will automatically deduct Personal Hours from the sick bank and track quarterly usage at the bottom. An employee is entitled to convert 7 or 8 hours (depending on the employee's schedule) per quarter into personal time. If no personal time is converted and used in Q1, then up to 14 or 16 hours (depending on the employee's schedule) may be used in Q2, and so on, up to a maximum of 28 or 32 hours per year depending on the employee's schedule.
County Health Clinic Time
Pursuant to County Personnel Policy 6.1.5 - Monroe County Health Clinic Time: Eligible employees who use the Monroe County Health Clinic ("Health Clinic") may receive benefit time. Such time will be treated in the same manner as sick time used (See Section 6.1.3). The benefit time for an employee is only available for Health Clinic appointments of the employee or when the employee accompanies a dependent child (in accordance with the PPACA). Reasonable travel time for the Employee's appointment will be included only if the employee is coming from and returning to work. If only one leg of the travel is during regular work hours, then only that time will be given as benefit time. No benefit time will be given for travel to pick up or drop off dependent children.
For Employee Time Sheet Purposes, Employees shall "clock out" for Health Clinic Time. However, employees shall record the time spent at the Health Clinic, including reasonable travel time (County Policy 6.1.5), in the "Other" column of the Time Sheet as as described in #3 below.
Other Column
This column shall be used to record County Health Clinic time, Jury Duty time, FMLA leave, and/or Snow Day/Emergency Closing time. The column has been split into two sections; one for the number of hours and one for the appropriate code. Employees must enter the appropriate code next to the hours in the Other column as follows:
1= Jury Duty Time
2= County Health Clinic Time
3= Snow/Emergency Closing Time
4= FMLA Leave
Please do not elaborate in the Notes Field as this inforamtion is confidential with regards to the public.
Time recorded in the "Other" column will not count towards gap/overtime/comp time; the timesheet is set up to NOT add this time into the gap/overtime/ comp time box.
Notes Section
The Notes cell at the bottom of the timesheet gives the employee an area to further explain items on the timesheet. For example, employees may want to note they were at a conference on a specific day/week, why they arrived/stayed late, worked through lunch, etc.
Pager Duty
For County departments that earn time for Pager Hours, employees shall enter pager time earned in the appropriate week's box (either Week 1 or 2). The timesheet will automatically include these hours in the weekly totals.
Sick, Vacation, and Comp Time Used
These cells show hours used. The timesheet will automatically subtract the hours used from the balances at the bottom of the time sheet.
Holiday Time
All Holidays are pre-populated on the timesheet, and these cells are locked. Floating holidays should be entered in the Holiday column (only the pre-populated Holiday cells are locked).
Comp Time/Overtime
The timesheet calculates gap time (35-40 hours) and comp time (over 40 hours). There is no need for Employees to calculate these times.
Claim Period Total All Hours w/Benefits
This cell must equal either 70 or 80 hours (depending on the employee's schedule). The only exceptions to this are if the employee:
a. takes FMLA leave or
b. is out of benefit time and must be docked
